UGH, I’m too busy to schedule a meeting so soon. Why can’t I do it later? It’s important to address academic concerns as soon as possible. NJAC 6A:14-3.3(e) says: When a preschool age or school age student is referred for an initial evaluation to determine eligibility for special education programs and services under this chapter, a meeting of the child study team, the parent and the regular education teacher of the student who is knowledgeable about the student's educational performance or, if there is no teacher of the student, a teacher who is knowledgeable about the district's programs, shall be convened within 20 calendar days (excluding school holidays, but not summer vacation) of receipt of the written request.
Why doesn't the rest of the Child Study Team have to be there?
NJAC 6A:14-3.3(e)5 says: For students ages five to 21, when the suspected disability is a disorder of voice, articulation and/or fluency only, the decision to evaluate and the determination of the nature and scope of the evaluation shall be according to (e) above, except that the meeting shall include the speech-language specialist, the parent and the general education teacher of the student who has knowledge of the student's educational performance or if there is no teacher of the student, a teacher who is knowledgeable about the district's programs.
Now it’s time to schedule a meeting! The meeting has to be held within 20 calendar days from the time you received the referral. Choose a date and time and send a notification email to:
R The student’s general education teacher
R The building principal
R The school guidance counselor
In your email: ask the principal to arrange for classroom coverage; ask the guidance counselor to provide the teacher with a referral packet*; and ask the teacher to complete the referral packet*.
*If you don't already have a completed referral packet.
You must also send a letter inviting the student's parent to the meeting. To send an invitation:
1. Log into Easy IEP using your own login information.
2. Click on the "Students" tab at the top of the page and search for the student, or select the student from your list when you click "View My Caseload."
3. Click on the "Documents" tab. In the Documents box, click on the "Invitations" tab.
4. Choose A-1 Invitation to Identification Meeting and click "Create Final Document."
5. Fill in all of the required information. Do not check the boxes that say "Attach Meeting Participants" and "Attach Procedural Safeguards."
6. Click "Create Final Document" and on the next page click "View."
7. Print the invitation, put it in an envelope*, and send it to Sally Robinson to be mailed.
*Pro-Tip - To make sure the address shows through a window envelope, fold the letter under "Dear (Parent)" just above the first line of the body of the letter.
